Marketing Administrative Assistant

This position is responsible to assists in the implementation, execution and evaluation Marketing functions for El Paso Live and Destination El Paso. Performs general clerical functions and assists Marketing Department with day-to-day operations of the department. Duties may include processing invoices, creating Excel spreadsheets, word processing, calendars and filing. Extensive software skills are required, as well as Internet research abilities and strong writing communications skills. Employee will perform routine, and some non-routine, continuous and repetitive work primarily with the operation of a telephone, processing expense reports, show/event settlement plans and planning meetings.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Strong customer service and business etiquette skills.
• Perform general administrative assistant functions and assists Marketing Manager in day-to-day operations of the department.
• Considerable knowledge of office practices and procedures and excellent knowledge of office computer software.

• Able to follow oral and written instructions and communicate effectively with others in both oral and written form.
• Good organizational skills, the ability to multi-task and prioritize work and competing deadlines.
• Processes all out-going media plans for marketing department.
• Maintains statistical data related to shows and events.
• Monitors all aspects of the department budget, including preparation of invoices, check requests and purchase orders.
• Creates and maintains monthly, quarterly, and yearly inquiry tracking reports; comply data for monthly reports.
• Assist in developing response material for the individual consumer and group sales for shows and event.
• Maintain database of El Paso Live’s venue subscriber, sponsors, media and other lists.
• Updates online master calendar daily.
• Updates website information as needed.
• Works closely with the Marketing Department to analyze marketing surveys throughout the year.
• Maintain organized file system for department, including accounting records, requests for quotes, media placement, distribution lists and database of local media.
• Prepare monthly reports and clipping recap for supervisor and senior management. Maintain an updated media placement book.
• Assist the purchasing of promotional items, novelties and uniforms requiring branding.
• Assist with requesting printing bids/estimates and coordination of print materials.
• Assist in the coordination of special events throughout the year.
• Assists the department with phone duties and the coordination of event schedules.
• Performs related duties as required.

QUALIFICATIONS
• Strong customer service and business etiquette skills.
• Strong organizational skills.
• Able to operate various computer software packages necessary to complete assignments, specifically MS office and Excel.
• Maintain an effective working relationship with clients, patrons, employees, and others encountered during employment.
• Organize and prioritize projects and tasks under pressure and/or stringent schedule and produce accurate results.
• Be a team player and remain flexible and adjust to situations as they occur.
• Ability to communicate effectively orally and in writing, to be tactful, courteous and professional.
• Must have a valid Driver’s License.

EDUCATION AND WORK EXPERIENCE:
• High school diploma or GED, college preferred.
• Two years of experience in the customer service and marketing industry.
• Excellent multi-task and organization skills.

PHYSICAL DEMANDS:
Examples:
• Daily sitting, focusing on and operating a personal computer or terminal keyboard to enter data for aver 60 minutes at a time.
• Ability to read printed words and numbers in printed form and on computer/terminal monitor.
• Communicate by telephone for up to 30 minutes at a time, daily.
• Stand several times a day to operate photocopier, work at special events and/or shows and stand for hours at a time.
• Lift up to 25 lbs.

• Daily standing for up to 15 minutes at a time operating office equipment such as printer or photocopier.
• See and distinguish objects or symbols as 20 feet or more and 20 inches or less. Depth perception, peripheral vision and bringing objects into focus.
• Write using pen/pencil or personal computer keyboard for up to 30 minutes at a time on a daily basis.
• Ability to travel by automobile.
