Temporary Operations Assistant

ESSENTIAL DUTIES AND RESPONSIBILITIES
• Assist with Administration to maintenance software, Altum; responsible for keeping the system up to date, developing and implementing preventive maintenance programs, assign and approve/deny work order requests, follow up on the completion of assigned work orders, and any other duties in relation to fully implementing and maintaining the system
• Coordinate the operations activities with other building departments and show-related contractors
• Provide basic IT support to other employees
• Anticipate problems and appropriate solutions. Investigates, analyzes and resolves operational problems and complaints
• Implement facility rules, regulation policies and procedures, maintain MSDS log up to date, file and prepare check requests, purchase requests, certificates of insurance, licenses, and other pertinent facility documentation
• Provide clear, concise and timely communication of directives to other departments
• Ensure that operations department receives pertinent information for most effective use of facility and staffing
• Acts as support to the Director of Operations and Operations Manager
• Acts as support of implementing and maintaining the facilities sustainability and recycling programs
• Follow the preventive maintenance program, energy management program and standard operation procedures for all machinery and equipment
• Promote a safe working environment for all employees by following the life safety and emergency program
• Make recommendations for purchases and repairs
• Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes and work cooperatively
• Anticipate problems and appropriate solutions
• Provide clear, concise, and timely communication to operations crew and management
• Work effectively with other building departments
• Assist with general related maintenance of the building in between events
• Serves as the accounts payable representative of the Operations Department
• Review of purchase requests for in-house supplies for all facilities
• Perform various clerical tasks to include but not limited to: sort and organize files, good record keeping, daily reconciliation and verification of change fund, prepare daily activity reports on computer, inventory of assigned ticket stock, supplies, and staff leave requests.
• Performs other duties as assigned by the Operations Management Team
QUALIFICATIONS, EDUCATION AND WORK EXPERIENCE
• High School diploma or G.E.D. required. Two (2) years of college coursework preferred but not required
• Ability to prioritize and handle multiple projects simultaneously
• Ability to work with limited supervision and as a team member
• Maintain an effective working relationship with clients, employees, exhibitors, patrons and others encountered in the course of employment
• Excellent organization, written, verbal and interpersonal skills required; ability to interact with all levels of staff including management
• Professional presentation, appearance and work ethic
• Skilled at working independently to make decisions that benefit the company
• Strong customer service skills
• Familiarity with HVAC, electrical, and A/V systems

• Follow all policies/procedures, risk management, safety precautions, rules, regulations and emergency procedures established at the facility
• Follow and communicate instructions effectively with others in oral and written form
• Ability to work flexible hours based on events, including daytime, evening, overnight, weekends and holidays as needed
• Valid driver’s license required
• Intermediate to advanced computer skills to include Microsoft Office Suite, Database programs, and Accounting Software.
• Ability to set up, install and troubleshoot computer equipment and software.
• Familiarity or background in accounting.
WORKING ENVIRONMENT/CONDITIONS
• Exposure to heat and cold, dust, pollen, fumes, high noise levels, and other adverse weather conditions
• Office and working warehouse environment
• Occasional and frequent sitting, focusing on and operating a personal computer several times and hours per day.
• Ability to lift 50 lbs.
• Climbing ladders and staircases multiple times per day
• Constant standing, walking, stooping, reaching, and handling of products.
• Ability to travel by automobile and/or air.
• Requires frequent use of a calculator, PC or terminal, printer, fax, photocopier, telephone, cash register, radio frequency terminals, carts conveyor belts, pallet jacks, etc.
